How to reply to negative restaurant reviews (with examples)
What works when you answer a bad review on Google or Tripadvisor – lessons from 110 real restaurant reviews, a 5-step formula and ready examples.
We read 110 real Tripadvisor reviews of eight restaurants – from Rome to Singapore, Paris to Sydney – and the 51 replies their owners wrote. The good replies had a lot in common. So did the bad ones.
What guests complain about
Out of 75 reviews with 1 to 3 stars, the food was mentioned in 54, the service in 51, prices in 33, the atmosphere (noise, temperature, cleanliness) in 28, waiting times in 21 and bookings in 21. Most bad reviews mix praise and criticism: the guest liked something, and tells you exactly what went wrong.
The mistakes that make it worse
- Copy-paste replies. The same “Thank you for your feedback” under every review tells future guests nobody is reading.
- Ignoring the actual problem. If the guest says the room was freezing, a reply about “our passion for quality” makes it worse.
- Arguing or correcting the guest at length – especially in a different language from the review.
- Worn-out phrases such as “did not meet your expectations” or “we take all feedback seriously”.
- Naming a staff member in a negative context. Thank staff by name for praise; never blame them in public.
The 5-step formula that works
- Use the guest's name and reply in their language.
- Thank them for something specific they liked – the dish, the view, the waiter's name.
- Name the problem and apologise once, sincerely: “I'm sorry you waited 40 minutes for your mains.”
- Give one concrete action – plausible, not a promise of perfection: “I've reviewed the timing between courses with the kitchen.”
- Take it offline: invite them to write to you directly, and sign with your name and role.
Example
Review (3★): “The carbonara was great and Sara was lovely, but we waited almost an hour and the room was very noisy.”
Hi Tom, thank you for coming in – I'm glad the carbonara hit the spot, and I'll tell Sara you enjoyed her service. I'm sorry you waited almost an hour; that's far too long, and I've already looked at how we pace tables on busy nights with the team. The noise is fair feedback too: we're adding sound panels in the main room. If you'd like to tell me more, write to me at hello@yourrestaurant.com. – Marco, Owner
Health and allergy complaints
Take them very seriously and stay calm. Say you're sorry they had this experience, don't confirm or deny the cause, don't mention legal matters, and ask them to contact you privately with the date of the visit so you can investigate. Don't invite them back in the same reply.
Why it's worth the effort
Future guests read your replies more than you think. A study of Tripadvisor hotels (Proserpio & Zervas, Marketing Science, 2017) found that businesses that started replying received more reviews and slightly higher ratings afterwards, with fewer short, angry reviews.
